Politics and Live Events: is SXSW a Wake-Up Call?

by Chris Kappes, Exhibit City News

The recent developments at the South by Southwest (SXSW) festival in Austin, TX have sparked discussions about the evolving landscape of live events in the context of political engagement. Traditionally known for its vibrant mix of speakers, panels, music showcases, film screenings, and exhibitions, SXSW found itself thrust into the political spotlight.

Amidst the usual fanfare, eighty musicians and panelists withdrew from the festival in protest of its association with the U.S. Army and a major defense contractor’s involvement in the Israel-Hamas conflict. Notably, the U.S. Army held a prominent position as one of the six “super sponsors” of SXSW.

This shift in focus begs the questions: Why now, and what does it signify for the future of live events?

While demonstrations at such gatherings are not unprecedented, the current climate suggests a deeper undercurrent of societal polarization. The Pew Research Center’s studies on polarization underscore the unique amalgamation of ideological, racial, and religious divisions present in the United States, setting it apart from other nations.

Live events serve as potent platforms for the expression of discord and dissent, magnifying societal tensions under the scrutiny of media coverage. As such, we may anticipate an uptick in demonstrations at similar gatherings in the future, driven by heightened political consciousness and media amplification.

PREPARING FOR THE FUTURE: MITIGATING EVENT DISRUPTIONS

Considering these developments, event organizers must prioritize proactive risk management to ensure the safety and success of their gatherings. Here are ten essential tips to minimize disruptions:

  • Develop an Event Risk Management Plan: Establish a dedicated team and leadership structure for risk management.
  • Identify Risks: Assess potential risks, including political demonstrations, natural disasters, transportation issues, speaker cancellations, hazards, and health and safety concerns. Secure comprehensive insurance coverage and consult with trusted risk advisors.
  • Address Specific Challenges: Develop protocols to manage various challenges, focusing on communication, crisis management, and logistical considerations.
  • Evaluate Venue Risks: Conduct thorough assessments of venue-specific risks, including security measures and evacuation procedures.
  • Anticipate Crowd Control Needs: Implement crowd management strategies and security measures, including bag checks and entry protocols.
  • Establish Clear Communication Channels: Ensure clear communication protocols are in place for all stakeholders, including attendees, staff, and authorities.
  • Identify Contingency Plans: Develop contingency plans for potential disruptions, outlining steps to address various scenarios.
  • Collaborate with Local Authorities: Coordinate closely with local authorities to synchronize response efforts and leverage their expertise in managing risks.
  • Roleplay Risk Scenarios: Conduct training exercises to simulate different risk scenarios and refine response strategies.
  • Continuous Improvement: Regularly review and update risk management plans based on lessons learned and emerging threats.

By implementing these measures, event organizers can better navigate the complexities of the modern political landscape while ensuring the safety, success, and seamless execution of their gatherings.
