New Eventrac management tool streamlines work order process

Champion Exposition Services announced its new Eventrac Technology Suite, a full-service suite of web-based technology tools for all aspects of event management, during Expo! Expo! the annual industry meeting of International Association of Exhibitions and Events (IAEE).


Eventrac includes tools for venue and event visualization, sponsorship management, workflow and order management, exhibitor experience and onsite operational efficiency.

“The event management industry is changing and our current and potential clients want more solutions to improve operating efficiency,” said Mark Palm, executive vice president, Champion. “We are proud to be the first and only general service contractor to provide show organizers with a vendor management tool as part of the roll-out of our new branded full suite technology tools that ease the planning and production process to enhance the onsite experience for show organizers and exhibitors.”

Eventrac features vendor management, a new tool that provides show organizers with a convenient way to manage work orders for Champion, and all other vendor requests such as audio-visual, catering and electrical.

This proprietary system also provides extensive reporting options. Production schedules can be created by date, location or vendor and are easily exported to Excel. Specific work orders with all relevant information such as item requests and service details can be exported to a PDF report.

The online tool can be used for tradeshows of all sizes. The easy-to-use tool was recently utilized at Oracle Open World San Francisco to coordinate nearly three dozen vendors serving multiple venues including three expo floors and nine hotels hosting more than 40,000 attendees.

Eventrac Technology Suite for show organizers also includes several tools to save planning time and makes critical information easily accessible. Eventrac Flythrough is a virtual tour of the conference facility to identify high-impact locations for signage, sponsorships and community gatherings.

Eventrac Sponsorship is 3-D interactive program that showcases sponsorship opportunities within the venue, pricing, dimensions and key contact information. Eventrac Command Center is a propriety online workflow management tool for all graphics orders including floor plans, design renderings and staging props.

Early next year Champion will roll out its new Eventrac Technology Suite for exhibitors with new and enhanced tools. Eventrac Exhibitor Ordering is the next generation online ordering system offering a full catalog of merchandising items, as well as tools for booth layout, budget control and deadline alerts.

Eventrac Shipment Tracking is a proprietary tracking system used in conjunction with Champion shipping systems to let exhibitors track materials from pick up to delivery. Eventrac Freight Management tracks all freight coming in and out of the venue and provides alerts to reduce unproductive waiting time for exhibitors during move in and move out of a tradeshow.
