From the workshop to the show floor: a clearer lighting-kit handover

By BOOTH LIGHTS Team

A case labelled “stand lighting” tells the crew what is inside, but little about where each part belongs. When a stand has been assembled in a workshop and packed for a show, the useful information is the connection between the tested arrangement, the stand drawing and the contents of each case.

A handover record can make that connection without becoming a second installation manual. Start with one reference for each lighting position. Use the same reference on the current stand drawing, the kit list and the packaging. If the drawing calls a position L03, a label saying “left light” leaves room for a different interpretation when the crew approaches the stand from the other side.

Record the arrangement, not just the fixture

For an external arm light, record the product reference, its intended position and the mounting arrangement agreed for that frame. Keep the mount reference alongside the light reference. Two frames can look similar in a photograph while using different profiles or attachment details. A picture of the fixture alone does not resolve that difference.

For an illuminated graphic frame, give the frame its own reference and identify the lighting components supplied for it. Keep their documents with that frame record. A description such as “LED bars” is too broad to identify a replacement later. Where a component reference is missing, flag the question for the supplier rather than assigning a substitute from appearance.

Include the accompanying power unit, leads and connectors in the kit record. Identify the combinations specified or approved for that equipment in the supplier’s model-specific documentation. A plug that physically fits does not establish suitability. The record should point the installer to the correct documents and supplier contact; it should not introduce an improvised wiring or compatibility instruction.

Give photographs a job

Take photographs that answer a specific handover question. One wider view can show the lighting position on the assembled frame. A closer view can show the mount and its orientation. Label those images with the same drawing reference and identify which build or revision they show. An unlabeled collection of product photographs leaves the next crew to work out the relationship.

A simple illustrative example is a stand with two arm lights above a graphic and a separate illuminated frame beside it. Those are three lighting positions. Each needs a drawing reference, its component list and its own setup record. The photograph showing the complete stand is useful context, but it does not replace the detail needed to identify the two mounts or the components inside the frame.

Make changes visible before packing

If the workshop arrangement changes, update the affected entry before the equipment goes into its case. Note what changed, which drawing revision now applies and which earlier photograph should no longer be used. A revised kit list paired with an old setup photograph can be harder to interpret than a clearly marked open question.

Before dispatch, compare the record with the packed contents. Mark missing items and unresolved decisions and give each question a supplier or project contact. Make the current drawing, labelled photographs and model-specific documents available to the installation crew. Venue requirements and the appointed contractor’s instructions still need to be checked separately. The purpose of the handover is to preserve the agreed kit arrangement and make the remaining questions easy to find.
